AI automation for the work your team repeats every day
Most businesses don't need an AI strategy deck. They need specific, repetitive work to stop eating their team's week. VERTARC builds AI-powered workflows connected to your existing systems, with people kept in the loop for decisions and exceptions.
What is AI automation?
AI automation uses AI models inside business workflows to handle tasks that previously needed a person to read, interpret or decide, such as classifying enquiries, extracting data from documents or drafting replies, and passes the results to your other systems.
Traditional automation follows fixed rules: if this happens, do that. AI automation handles inputs that vary, such as free-text emails, PDFs or call transcripts. The best workflows combine both: rules where the logic is fixed, AI where interpretation is needed, and a person wherever a mistake would be costly.
Who AI automation is for
- Teams spending hours on data entry, copying between systems or chasing follow-ups
- Businesses processing orders, forms or other documents by hand
- Operations that grew faster than their processes
- Companies that tried generic automation tools and hit their limits
What VERTARC delivers
Process mapping
What happens today, step by step: what's manual, what can be automated and what should stay human.
Lead qualification and follow-up
Enquiries classified, scored, answered and routed automatically.
Document and data processing
Data extracted from emails, PDFs and forms, validated and written to the right system.
Reporting automation
Recurring reports assembled from your systems instead of spreadsheets.
Data synchronization
Records kept consistent between CRM, ERP, accounting and other tools.
Human-in-the-loop controls
Approval steps, confidence thresholds and escalation paths, so uncertain cases reach a person.
How we automate a process
- 01
Map the manual work
Document what people do today, how often, and where errors happen.
- 02
Decide what to automate
Prioritize by volume, cost of errors and whether the task follows rules or needs judgment.
- 03
Build and connect
Build the workflow and connect it to the systems that hold the data and receive the results.
- 04
Run with oversight
Logging, monitoring and review steps, with clear ownership of the human work that remains.
Common AI automation projects
Inbox triage
Inbound emails classified and routed to the right team with a drafted reply ready for review.
Order entry
Order details extracted from PDFs or emails and entered into the ERP.
Automated reporting
A weekly performance report assembled automatically from CRM and ad data.
Stage-based follow-up
Follow-up messages triggered when a deal moves stage in the CRM.
What to expect
AI makes mistakes
Models can misread inputs. We design checks, confidence thresholds and human review for anything consequential.
Not everything should be automated
Low-volume or judgment-heavy tasks are often not worth automating. We'll say so.
Access and data ownership
Automation needs access to the systems involved and clear decisions about who owns which data.
Maintenance
Connected systems change. Workflows need monitoring and occasional updates.

AI automation FAQ
What's the difference between AI automation and traditional automation?
Traditional automation follows fixed rules and needs structured input. AI automation can interpret unstructured input such as emails, documents or conversations. Most good workflows use both.
Should we use AI agents or automation workflows?
An AI agent decides its own steps toward a goal; a workflow follows defined steps. For most business processes we recommend defined workflows with AI at specific steps, because they are more predictable and easier to audit.
Will automation replace our staff?
That isn't the goal. Automation takes over repetitive, rules-based work so your people can focus on decisions, relationships and exceptions.
How do you handle our data?
We design workflows to pass only the data each step needs, choose providers and settings that fit your requirements, and agree how data is handled before building.
Which tools do you build with?
It depends on the process and the systems you already use. We use your existing tools where possible and choose the simplest reliable option for each workflow.
